Excused Absence Policy

1.0 Policy Purpose

The purpose of this policy is to establish rules and requirements for student use of excused time off for illness, conference presentations, leadership opportunities, major life events, and/or religious observances.

2.0 To Whom the Policy Applies

This policy applies to all medical students, including those in dual-degree and Primary Care-Population Medicine (PC-PM) Programs.

3.0 Policy Statement

Medical students are allowed Excused Absences pursuant to this Policy, including exam extensions or rescheduling for the reasons set forth herein. Excused Absences also include Personal Days, which are permitted under the Personal Day Policy.

Excused Absences can be requested for any of the reasons detailed in subsection 3.1.

To maximize learning and to help with planning, Excused Absence forms for planned absences must be submitted a minimum of two weeks prior to, but ideally as far in advance as possible of, the proposed absence date.

A pattern of repeated absences may be brought to the attention of the Student Support Committee and/or the Medical Committee on Academic Standing and Professionalism.

Medical students may request Excused Absences by following the associated procedures available in the Medical Student Handbook.

3.1 Approved Excused Absences for Any Phase

Students in any phase of medical school may request an Excused Absence for the reasons described herein.

3.1.1 Illness

For the well-being of students and others, students must not attend classes, see patients, or take exams if they are ill.

An absence due to personal illness will be approved once appropriate documentation from a provider or Health Services is submitted. Refer to the applicable procedures in the Medical Student Handbook. 

Medical appointments should be scheduled during non-required classroom sessions or clinical responsibilities whenever possible to avoid disruption to required activities. If this is not possible, an absence due to a scheduled medical appointment should be requested early and subsequent documentation provided to excuse the absence. 

Regularly-scheduled appointments with a healthcare provider (e.g., weekly therapy) are considered an academic accommodation and not an approved Excused Absence. To receive accommodation, appropriate documentation must be submitted to the Office of Academic Support in a timely manner to obtain approval. The Office of Academic Support will then provide guidance for communicating these accommodations to the appropriate course/rotation personnel. 

3.1.2 Acute Student Support Day

Students can request an Excused Absence to address an acute student support need (e.g., a personal crisis). Students who are experiencing a difficult time or feel that they need a student support day to urgently step away from their medical student responsibilities and address an acute need should request an absence using the (confidential) Acute Student Support Day Absence form; doing so will prompt a check-in meeting with the Associate Dean for Student Affairs or Assistant Dean for Student Well-Being.

An acute student support day absence does not require provider documentation.

A meeting with a student support administrator is required to ensure that students are granted necessary time-off, connected with support resources, and appropriate follow-up care is arranged.

Acute student support days are not meant to replace a denied Personal Day request.

3.1.3 Presentation at a Meeting or Conference; Leadership Activity

Students who present at a conference or represent Brown University in a leadership capacity at a conference or meeting may apply for an Excused Absence or exam extension/rescheduling using the Excused Absence form on the class Canvas page. Conference or meeting attendance without presentation or leadership responsibilities does not meet the requirements for an Excused Absence or exam extension/rescheduling and will not be granted. Students must give six weeks’ advance notice on clerkship and post-clerkship rotations.

3.1.4 Major Life Event

Students may request an Excused Absence for major life events involving a close relative or friend, including, but not limited to, death, wedding, or a major milestone. Excused absence requests are granted at the discretion of the appropriate administrator and should be made so there is minimal disruption to any required classroom or clinical activities.

3.1.5 Religious Holidays and Observances

Students may request an Excused Absence or exam extension/rescheduling for religious holidays or observances.

3.2 Curriculum Phase Absences

Due to the variant nature of the phases of medical education, some differentiation amongst the curriculum phases is necessary as described herein. 

3.2.1 Pre-clerkship Phase

All Excused Absences for Integrated Medical Sciences (IMS), Health Systems Science, or Doctoring course activities must be approved by the appropriate curriculum director. Students will be required to complete make-up work.

3.2.2 Clerkship Phase

Two Excused Absences per clerkship are permitted in the clerkship phase of curriculum. Exceptions to this are the Internal Medicine clerkship, which allows four Excused Absences over the 12-week clerkship, and Clinical Neurosciences which allows two Excused Absences in each Psychiatry and Neurology clinical rotation.

More than two Excused Absences may necessitate clinical make-up work.

3.2.3 Post-clerkship

Two Excused Absences per four-week clinical rotation are permitted in the post-clerkship phase of the curriculum. More than two Excused Absences may necessitate clinical make-up work.

3.2.4 Primary Care-Population Medicine (PC-PM) Program

PC-PM students on the Longitudinal Integrated Clerkship (LIC) can have two Excused Absences per clerkship clinic site during the clerkship year before make-up clinical work will be required (e.g., students may have two absences from their Pediatrics outpatient site).

4.0 Definitions

For the purpose of this policy, the terms below have the following definitions:

Block Clerkships:

Core clerkships that occur in six-, eight-, and twelve-week rotations which provide immersive instruction in a particular field of medicine. Students complete one clerkship before rotating to the next.

Doctoring:

A required four-course program designed to teach the knowledge, skills, attitudes, and behaviors of the competent, ethical, and humane physician. It teaches future physicians how to form their professional identity through the art of communication, the skills of physical examination, and the tenets of professionalism.

Excused Absence:

An absence that may be excused for a major life event, illness, acute student support need, religious observance, or conference or presentation.

Integrated Medical Sciences (IMS):

The foundational courses required of all students that teach the scientific, systems, and anatomical components of medicine.

Longitudinal Integrated Clerkship (LIC):

During the clerkship phase of the curriculum, students who are enrolled in the PC-PM program are enrolled in the LIC which integrates the core clerkships (Family Medicine, Obstetrics/Gynecology, Pediatrics, Surgery, Internal Medicine, and Clinical Neurosciences) throughout the year-long clerkship.

Personal Days:

Excused time off to allow medical students to attend to personal matters, such as wellness, housing, transportation, etc. 

Primary Care-Population Medicine Program (PC-PM):

A graduate-level program specifically for medical students.

5.0 Responsibilities

All individuals to whom this policy applies are responsible for becoming familiar with and following this policy. University supervisors and employees with student oversight duties are responsible for promoting the understanding of this policy and for taking appropriate steps to help ensure and enforce compliance with it.

Office of Medical Education: Through the appropriate curriculum director, will process and approve Excused Absence requests.

6.0 Consequences for Violating this Policy

Failure to comply with this and related policies is subject to disciplinary action, up to and including suspension without pay, or termination of employment or association with the University, in accordance with applicable (e.g., staff, faculty, student) disciplinary procedures.
