Donor Anonymity Policy

1.0 Policy Purpose

The purpose of this policy is to define how Brown University approves and administers requests for anonymity as it relates to gifts to the University.

2.0 To Whom the Policy applies

This policy applies to the Corporation of Brown University (the Corporation), the President, the Senior Vice President (SVP) for Advancement, and any member of the Brown University community who engages in the solicitation, administration and/or stewardship of gifts.

3.0 Policy Statement

The University may publicly recognize donors in donor recognition vehicles produced by the University, including print, spoken, broadcast, and/or online media. Donors may seek to remain anonymous. To that end, the University offers two levels of anonymity, public and institutional, dependent on the desires of the donor balanced with the obligations of the University to comply with its Gift Acceptance Policy. As a condition of employment, all Brown University employees must sign a Code of Conduct statement that contains a provision on confidentiality and privacy of information. Furthermore, they are required to sign confidentiality agreements as a prerequisite to accessing systems containing donor information. Donors should be aware that complete confidentiality is not permitted as a limited number of employees approved by the SVP of Advancement will be provided with the minimum level of access to gift and donor information required to conduct University business to process the gift. In addition, the President and the Chancellor may confer with the Advisory and Executive Committee of the Corporation to evaluate the request for confidentiality based on the principles enumerated in the Gift Acceptance Policy. There is no guarantee that a request for anonymity will be granted.

3.1 Public Anonymity

In cases where the donor is requesting public anonymity, the gift acceptance vote by the Corporation will move forward with the identity of the donor known and include a reference that the gift is being made anonymously. The donor’s name will not appear in publications, honor rolls, plaques or other public announcements, except as “anonymous.” The gift will be recorded as anonymous on the donor’s record.

3.2 Institutional Anonymity

In rare cases, the donor may request institutional anonymity. In these cases, in order to accept the gift, only the President and the Chancellor will be informed of the donor’s identity. The name of the donor will not be revealed to the Corporation or on the gift acceptance vote. Requests for institutional anonymity must be approved by the SVP for Advancement, who in turn will seek confirmation with the President and the Chancellor. The gift will be recorded on a constituent record that masks the identity of the donor.

3.3 Change to Status

The donor may make a written request to the University, at any time, to remove their anonymity status or the anonymity status of their individual gifts. 

3.4 Federal and State Reporting Requirements

Brown adheres to all applicable Federal and State reporting requirements, including those that may require the University to provide governmental agencies with information including, but not limited to, donor name(s), citizenship, residency, and amount of the gift.  Federal and state law may require Brown to disclose information regarding donors, even if the donor seeks to remain anonymous.

3.5 Exceptions

Exceptions to this policy may be made in writing by the SVP for Advancement or the President.

All individuals to whom this policy applies are responsible for becoming familiar with and following this policy. University supervisors are responsible for promoting the understanding of this policy and for taking appropriate steps to help ensure compliance with it.

6.0 Consequences for Violating this Policy

Failure to comply with this and related policies is subject to disciplinary action, up to and including suspension without pay, or termination of employment or association with the University, in accordance with applicable (e.g., staff, faculty, student) disciplinary procedures.
